Job Description and Responsibilities
The Customer Service Employee is responsible for the administrative-commercial support of the sales teams for product and service orders. This includes :
- Order entry and order management: entering orders in SAP for the product, project and service business, checking that the necessary purchase orders exist for each sales order, etc.
- Maintaining project administration and project data in SAP
- The administrative processing of long-term agreements (including periodic invoicing)
- Creating order confirmations to customers
- Maintaining telephone contacts with customers for questions related to orders (eg delivery times, deliveries, invoices, guarantees)
- The coordination with the warehouse for orders that are delivered from stock
- Timely and correct invoicing
- The preparation and follow-up of credit notes
- The follow-up of overdues
- The adjustment with buyers for delivery times and deliveries
- Monitoring appropriate credit limits for customers in SAP
- Keeping material master data and customer master data in SAP up to date and requesting changes
- The continuous implementation of proposals for optimizing business processes within the Customer Service team
- Closing orders in SAP by following the contract list
- Guaranteeing the correct use of the TOA
- Performing the SOX checks
- Processing of time lists and expense reports of the engineers
- Following up on scope changes
- Requesting, following up and taking out bank guarantees
The Customer Service Employee works closely with the Buyers and with the Markets departments
Requirements
- Dutch and English speaking
- French is a plus
- Some SAP implementation experience
